How to select a location for your event (in a nutshell)
- Selecting the type of event, the objective and number of participants leads us to the next important step – selecting the location and venue.
The event venue is a very significant factor in the success of your event for several important reasons:
Location – easily accessible to your invited guests.
Parking and/or accessibility to public transportation.
Size of the venue – the venue must be a good fit for the expected number of participants – not overly large so that it appears empty and not so small that it is crowded.
The various possibilities for decorating and branding the site.
Checking the date available at the selected venue with the date we want to hold the event/conference.
Ensuring the suitability of site to the expected weather – summer, winter event, air conditioner, roofing and more.
At the venue, is there a good division between the refreshment and the activity areas, whether it is a professional conference or a party-like event?
And in short – the venue needs to be a good match for the objective of the event and the event’s target audience. It is important that it is the first thing to close for the event.
- Because the location is exceptionally important to the event itself, it is important for the venue to be selected after we see it and evaluate it for ourselves.
Regardless of whether we have held an event at the venue before, we will conduct a tour of the site, checking how well it is maintained, whether any changes have been made at the venue and/or its general vicinity, even before we propose it to our client.
- Recommendations and criticism are always good. It never hurts to ask and consult with colleagues and clients who have attended or hosted an event at the venue.
- For any venue we suggest and examine, we will first ensure that it has a business license and all the insurance policies required – if the venue does not have a business license, we will not hold an event there.
